AI operations and automation for your business

Practical automation for your CRM, follow-up sequences, client onboarding, and reporting. We audit your workflows, build systems on tools you already use, and manage them so they keep working.

Practical automation for your CRM, follow-ups, onboarding, and reporting. Built on tools you already use. No enterprise bloat. Just workflows that save hours.

Most small businesses do not have an automation problem. They have a follow-up problem, an onboarding problem, and a reporting problem. Leads come in and nobody touches them for two days. New clients get onboarded by whoever remembers. And every Monday somebody spends an hour assembling numbers from four places into a spreadsheet that is out of date by Tuesday.

At $500K to $5M a year, the business is big enough that these leaks cost real money and small enough that nobody owns fixing them. The founder is the routing system. The work below is how we take that job off you.

Best for: businesses losing leads or wasting hours on manual processes.

What we build

Eight problems we see in almost every business at this size, and what we build for each

Each one starts with the same audit. Most clients start with one or two, in the order that returns the most hours soonest.

01

Lead follow-up that actually runs

The problem

A lead fills in a form, sends a DM, or calls after hours. Someone means to reply. Two days later they do, and the lead has already booked with whoever answered first. In most small businesses nobody knows how many enquiries went cold last month, because nothing was counting.

What we build

Every inbound source — web form, Facebook or Instagram lead, missed call, inbox — lands in one pipeline within seconds. An AI-drafted first reply goes out in your voice, tagged to the source and the service they asked about. A follow-up sequence runs until they answer; the moment they reply, it stops and a human is notified. Nothing waits on you remembering.

Built with: GoHighLevel or HubSpot pipelines, missed-call text-back, AI reply drafting

02

Client onboarding without manual steps

The problem

A contract is signed and the next ten things depend on whoever happens to remember them: the welcome email, the intake form, the shared folder, the kickoff invite, the invoice, the internal handover. Every new client is onboarded slightly differently, and the first week — the week they judge you on — is the messiest.

What we build

The signed agreement is the trigger. It creates the client record, sends the welcome and intake form, provisions the folder and access, schedules the kickoff, raises the first invoice, and posts a handover summary to your team. The sequence is identical every time and you see where each client is without asking.

Built with: E-signature webhook → CRM, Google Workspace or Microsoft 365, Zapier or Make.com

03

Inbox triage and drafting

The problem

The founder’s inbox is where the business goes to wait. Two hundred messages a day, most of which are not for the founder at all: vendor confirmations, scheduling back-and-forth, invoices, newsletters, and the four messages that actually need a decision, buried somewhere in the middle.

What we build

Every incoming message is classified — needs a decision, needs a reply, informational, noise — and routed. Routine replies are drafted for one-click approval. Scheduling requests go straight to the calendar workflow. What reaches you is the short list that needs your judgment, with the context already attached. This is also the system your executive assistant works from, if you have one.

Built with: Gmail or Outlook rules plus AI classification, calendar links, CRM logging

04

Meeting notes into the CRM

The problem

Sales calls and client check-ins happen, and then nothing. The next steps live in someone’s head, the CRM says the deal is still "in progress" from six weeks ago, and follow-ups are sent from memory or not at all.

What we build

Calls are transcribed automatically. An AI summary pulls out decisions, objections, and next actions, updates the deal stage, and drafts the follow-up email for approval. Your pipeline reflects what was actually said in the room, the same day.

Built with: Call recorder or meeting bot, AI summarisation, CRM API

05

Reporting nobody assembles by hand

The problem

Every Monday someone spends an hour pulling numbers from the CRM, the bank, the ad account, and a spreadsheet into another spreadsheet. By Tuesday it is out of date. Decisions get made on a report that took longer to build than it was useful for.

What we build

One dashboard, current when you open it: pipeline, revenue, cash position, delivery status, ad spend against bookings — pulled from the source systems rather than retyped. A short written summary of what changed this week lands in your inbox on Monday morning without anyone building it.

Built with: Looker Studio or Airtable, connected via Zapier or Make.com, AI-written weekly digest

06

Invoicing and collections

The problem

Invoices go out late because someone has to remember to send them. Reminders are awkward, so they do not get sent. Thirty days becomes sixty, and the business is quietly financing its own clients.

What we build

Invoices are raised automatically on the milestone that earns them — contract signed, delivery confirmed, month end. Reminders go out on a schedule in a tone you have approved, escalate politely, and stop the moment payment lands. You see who owes what without opening the accounting software.

Built with: QuickBooks or Xero, Stripe, CRM triggers, scheduled reminder sequences

07

Customer questions answered before they become tickets

The problem

The same twenty questions arrive every week — pricing, hours, how to book, where an order is — and every one of them interrupts someone. Response time drifts, and the questions that genuinely need a person get the same slow treatment as the ones that do not.

What we build

A first-line responder on your website, WhatsApp, or email that answers the routine questions from your own material, in your voice, at any hour — and hands anything it is not sure about to a person with the conversation attached. The person answers fewer questions and better ones.

Built with: AI assistant trained on your FAQs and policies, WhatsApp Business API, helpdesk or CRM handoff

08

Proposals, documents, and the paperwork in between

The problem

Every proposal, contract, SOW, and onboarding pack is built by copying the last one and editing it, which is how the wrong client name ends up in a document and how a Tuesday disappears.

What we build

Templates that fill themselves from the CRM record: the right name, scope, pricing, and terms every time. Proposals generated from the discovery notes for review rather than from scratch. Sent, tracked, and filed automatically when signed.

Built with: Document templates, e-signature, AI drafting from CRM fields

What this is not

The honest limits

  • Replacing judgment. Automation handles the repeatable, rule-based work. Exceptions, relationships, and decisions still need a person.
  • Migrating you onto new software. We build in the tools you already pay for. A migration is where most automation projects die.
  • Enterprise platforms. If a workflow needs a six-figure system, we will tell you and stop there.
  • Building things nobody will maintain. Everything we build is documented, and we manage it so it keeps working when a field gets renamed or an API changes.

How it works

Fixed quote before work begins

  1. 01

    Workflow audit

Every engagement starts here. We map what happens now and where it breaks.

  2. 02

    Scope and fixed quote

We scope the project and provide a fixed quote. No hourly billing. No scope creep.

  3. 03

    Build to spec

Built in your own tools, tested against real cases.

  4. 04

    Manage

We manage the systems so they keep working.

Tools

Built on tools you already use

We build in your stack, not ours. If it has an API or a Zapier connector, it is in scope.

Questions

Common questions

What does an AI operations project cost?

Fixed quote before work begins. Every engagement starts with a workflow audit. We scope the project, provide a fixed quote, and build to spec. No hourly billing. No scope creep.

Which tools do you work in?

GoHighLevel, HubSpot, Zapier, Make.com, and more. We build on tools you already use rather than migrating you onto something new. No enterprise bloat.

What does the workflow audit involve?

A short conversation about how work moves through your business today — where leads come from, what happens after a sale, what gets typed twice, what waits on you. We map it, mark where the hours and the leaks are, and come back with what to automate first and a fixed price for doing it.

Do you maintain it afterwards?

Yes. We audit your workflows, build systems on tools you already use, and manage them so they keep working.

Is my data safe?

Automations run inside your own accounts, under your own logins. We are granted the access a build requires, and it is removed when the engagement ends. Nothing is copied into systems you do not control.

Can I get AI operations without managed support?

Yes. AI Operations is a standalone service.

Will this replace my assistant?

No. Automation handles the repeatable, rule-based work. Judgment, relationships, and exceptions still need a person. The best result is an assistant whose time goes to the exceptions because the routine now runs itself.

Automation plus a person usually beats either alone

Start with the audit

We map your workflows, tell you where the hours are going, and quote a fixed price. If automation is not the answer, the audit will show that too.
